AU Sports Club Memberships

These Terms and Conditions apply to all Athletic Union (AU) Club Memberships administered by Loughborough Sport and the Athletic Union.

By purchasing, activating, or using an AU Club Membership, members agree to these Terms and Conditions.

1. Definitions

Loughborough Sport means 亚洲情色, its departments, employees, coaches, volunteers, contractors, authorised representatives, and partner organisations responsible for delivering sport programmes, facilities, activities, and services.

Athletic Union (AU) means the body responsible for administering student sports clubs and competition programmes at 亚洲情色.

Member means the individual who purchases or is allocated an AU Club Membership.

AU Club means any recognised Athletic Union sports club affiliated with 亚洲情色.

AU Club Membership means the membership product associated with a specific AU Club, providing access to approved club activities and benefits.

BUCS means British Universities and Colleges Sport.

2. Eligibility

2.1 Only individuals eligible under the Athletic Union and 亚洲情色 regulations may purchase or hold an AU Club Membership.

2.2 To become a member of an AU Club, individuals must first register their interest with the club committee. Memberships may only be purchased by those who have been selected and formally invited to join the club by the committee.

2.3 To view, purchase, or hold an AU Club Membership, members must maintain at least a valid Loughborough Sport Purple Membership (or any replacement membership designated by Loughborough Sport).

2.4Athletes selected to train within a AU Performance Development Squad are required to attend training sessions at a designated Performance training facility. As a condition of participation, a Loughborough Sport Gold Membership is required.

 

 

2.5 Loughborough Sport and the Athletic Union reserve the right to verify eligibility at any time.

2.6 Membership may be suspended or withdrawn where eligibility requirements are no longer met.

3. Membership Fees

3.1 AU Club Membership fees consist of:

  • An AU Club Membership fee; and
  • An administration fee which contributes towards Athletic Union operations and BUCS registration costs.

3.2 Membership fees must be paid in full before membership benefits become available unless otherwise agreed by Loughborough Sport.

3.3 Membership prices may vary between clubs based on operational requirements and activities.

3.4 Membership fees are non-transferable.

3.5 Membership fees are non-refundable except where required by law or where Loughborough Sport expressly agrees otherwise in writing.

4. Membership Benefits

4.1 AU Club Membership may provide access to:

  • Club training sessions;
  • Coaching activities;
  • Internal club activities;
  • Loughborough Sport facilities;
  • External training venues;
  • Competitive opportunities;
  • Club development opportunities; and
  • Other club-specific benefits.

4.2 Membership benefits vary between clubs and may change during the membership period.

4.3 Purchase of an AU Club Membership does not guarantee:

  • Selection for teams;
  • Match participation;
  • Competition entry;
  • Leadership positions; or
  • Access to restricted squads or programmes.

5. Club Trials and Selection

5.1 Some AU Clubs may require attendance at trials, assessments, auditions, or selection events.

5.2 A fee may be charged for participation in a trial or assessment process.

5.3 Any trial fees are non-refundable unless otherwise stated by the relevant club.

5.4 Participation in a trial or assessment does not guarantee:

  • Selection into a team;
  • Membership of a performance squad;
  • Competition opportunities; or
  • Future involvement with the club.

5.5 Selection decisions are made by the relevant club and coaching staff and are final.

6. Attendance, Participation and Bookings

6.1 Members are expected to attend training sessions, meetings, competitions, and club activities regularly and punctually.

6.2 Some clubs may operate minimum attendance requirements.

6.3 Where attendance requirements are communicated by the club, members are expected to comply with those requirements.

6.4 Repeated unexplained absences, poor attendance, or failure to engage with club activities may affect:

  • Team selection;
  • Competition eligibility;
  • Access to club activities; and
  • Continued membership benefits.

6.5 Members must notify the relevant club where they are unable to attend a scheduled activity.

6.6 Where required by the AU Club or Loughborough Sport, members must pre-book attendance at training sessions and activities using the Loughborough Sport App or any replacement booking system.

6.7 For activities taking place within access-controlled facilities, members may be required to hold a valid booking before access is granted. Members who have not booked onto a session may be refused entry, denied participation, or otherwise be unable to access the facility.

6.8 Members are responsible for ensuring they have successfully booked and, where required, checked into sessions in accordance with the instructions issued by their AU Club and Loughborough Sport.

7. Competition Eligibility

7.1 Members must hold a valid AU Club Membership to represent the club in BUCS competition where membership is required.

7.2 It is the responsibility of the member to ensure their membership remains active throughout the period of competition.

7.3 Loughborough Sport and the Athletic Union reserve the right to remove athletes from competition where membership requirements are not met.

7.4 Additional governing body registration requirements may apply for certain sports.

8. Club Activities, Trips and Events

8.1 Clubs may organise trips, competitions, camps, tours, training activities, and social events.

8.2 Participation in specific activities may require additional payment.

8.3 Clubs reserve the right to amend, postpone, or cancel activities where reasonably necessary.

8.4 Activities may be cancelled due to:

  • Poor uptake;
  • Insufficient participant numbers;
  • Facility issues;
  • Safety concerns;
  • Adverse weather; or
  • Circumstances beyond reasonable control.

8.5 Any applicable refund arrangements will be communicated by the relevant club or Loughborough Sport.

8.6 Transport and Travel - Members are responsible for travelling to and from training sessions, fixtures, competitions, and events unless transport has been specifically arranged by the AU Club or Loughborough Sport.

9. Equipment and Club Kit

9.1 Equipment requirements vary between clubs.

9.2 Some clubs may provide equipment for training or competition.

9.3 Members may be required to provide their own equipment, clothing, footwear, or other items necessary for participation.

9.4 Members are responsible for ensuring any personal equipment used is fit for purpose and safe to use.

9.5 Some clubs may require the purchase of club kit.

9.6 Where club kit has been personalised, customised, or specially ordered, orders cannot be cancelled following confirmation and payment.

9.7 Personalised or customised kit is non-refundable unless faulty.

10. Bookings, Cancellations and Fines

10.1 Members must comply with all applicable booking, attendance, and cancellation procedures.

10.2 Where club activities require booking, members are responsible for managing their bookings through the appropriate system.

10.3 Members must comply with the Loughborough Sport Pay As You Go Terms and Conditions where applicable.

10.4 Members must comply with the Loughborough Sport Fines Terms and Conditions where applicable.

10.5 Members acknowledge that fines, charges, restrictions, or disciplinary action may result from:

  • Failure to attend booked activities;
  • Late cancellations;
  • Abuse of booking systems; or
  • Breaches of facility access requirements.

10.6 Outstanding fines may result in restriction of membership benefits or access to facilities and services.

11. Conduct, Behaviour and Representation

11.1 Members must comply with:

  • The Loughborough Sport Code of Conduct;
  • Athletic Union regulations and policies;
  • Relevant club constitutions and policies; and
  • National Governing Body regulations where applicable.

11.2 Members must act respectfully towards coaches, staff, volunteers, officials, spectators, students, and other participants.

11.3 Members must comply with the rules, regulations, codes of conduct, and health and safety requirements of any venue visited for training, competition, or club activities.

11.4 Bullying, harassment, discrimination, abuse, violence, unsafe behaviour, misconduct, or behaviour likely to bring Loughborough Sport or the Athletic Union into disrepute will not be tolerated.

11.5 Members are responsible for the conduct of any guests they bring to club activities where guests are permitted.

11.6 Members must comply with reasonable instructions issued by club committee members, captains, authorised volunteers, coaches, and Loughborough Sport staff.

11.7 Representation of the University - Members recognise that when participating in AU Club activities, competitions, fixtures, tours, events, social activities, or when otherwise representing their club, they may be perceived as representatives of 亚洲情色, Loughborough Sport, and the Athletic Union.

11.8 Behaviour at External Venues and Fixtures - Members must behave in a responsible, respectful, and professional manner when attending or travelling to external facilities, competitions, fixtures, training venues, accommodation providers, events, and partner organisations.

11.9 Reputation - Members must not engage in behaviour that may reasonably be considered damaging to the reputation, interests, or standing of 亚洲情色, Loughborough Sport, the Athletic Union, an AU Club, its members, staff, volunteers, sponsors, or partners.

11.10 Social Media and Online Conduct - Members are responsible for their conduct on social media, digital platforms, online forums, messaging services, and other electronic channels. Members must not post, share, promote, or distribute content that:

  • Breaches University, Athletic Union, or club policies;
  • Is discriminatory, abusive, harassing, threatening, defamatory, or offensive;
  • Discloses confidential information; or
  • Could reasonably be considered damaging to the reputation of 亚洲情色, Loughborough Sport, the Athletic Union, an AU Club, or associated individuals and organisations.

11.11 Alcohol and Social Events - Club social events must comply with University and Athletic Union policies. Misconduct occurring at social events may result in disciplinary action under Athletic Union, Loughborough Sport, or University procedures.

11.12 Club Apparel and Identification - Where a member is wearing club kit, University-branded clothing, accreditation, or is otherwise identifiable as representing 亚洲情色, they are expected to maintain standards of behaviour consistent with the values and expectations of the University, Loughborough Sport, and the Athletic Union.

12. Health, Safety and Health Commitment Statement

12.1 Members are responsible for ensuring they are medically fit to participate in training, competition, and club activities.

12.2 Members must comply with all applicable health and safety policies, operating procedures, venue requirements, and staff instructions.

12.3 Members must immediately report any accident, injury, illness, safeguarding concern, equipment defect, or health and safety issue to the appropriate club official or member of staff.

12.4 Members must comply with the Loughborough Sport Health Commitment Statement.

12.5 Where requested, members must complete any pre-participation screening, declarations, waivers, or medical information requirements.

12.6 Loughborough Sport reserves the right to restrict participation where participation may present a health or safety risk.

13. Photography, Filming and Live Streaming

13.1 Matches, training sessions, events, competitions, and club activities may be photographed, filmed, recorded, or livestreamed.

13.2 Images, recordings, and livestreams may be used for:

  • Performance analysis;
  • Coaching and athlete development;
  • Competition administration;
  • Media coverage;
  • Marketing and promotional purposes; and
  • Athletic Union and University communications.

13.3 The processing and use of personal information and imagery will be undertaken in accordance with applicable data protection legislation and the University's Privacy Notice.

14. Data and Information Sharing

14.1 Personal information will be processed in accordance with applicable data protection legislation and 亚洲情色's Privacy Notice.

14.2 Information may be used for:

  • Membership administration;
  • Team selection and management;
  • Competition registration;
  • Facility access management;
  • Welfare and safeguarding;
  • Club administration; and
  • Athletic Union operations.

14.3 Information may be shared where necessary with:

  • Athletic Union staff;
  • Loughborough Sport staff;
  • Club committee members;
  • Coaches and volunteers;
  • National Governing Bodies;
  • BUCS;
  • External competition organisers; and
  • Relevant venue operators.

15. Suspension and Removal of Membership

15.1 Loughborough Sport and the Athletic Union reserve the right to suspend or terminate membership.

15.2 Membership may be suspended or withdrawn where:

  • Eligibility requirements are no longer met;
  • Membership fees remain unpaid;
  • The member breaches these Terms and Conditions;
  • The member breaches a Code of Conduct;
  • The member repeatedly breaches attendance requirements;
  • The member engages in misconduct or unsafe behaviour; or
  • Continued participation is considered detrimental to welfare, safety, programme delivery, or reputation.

15.3 Removal of membership will not normally result in a refund.

16. Impact on Other Memberships and Services

16.1 Breaches of these Terms and Conditions or applicable Codes of Conduct may result in wider disciplinary action.

16.2 Disciplinary action may include restriction, suspension, or removal of access to:

  • AU Club Memberships;
  • Performance Squad Memberships;
  • Loughborough Sport Memberships;
  • Sports facilities;
  • Recreational Sport activities;
  • Performance support services; and
  • Other Loughborough Sport programmes and services.

16.3 Sanctions applied will be proportionate to the nature and severity of the breach.

14.4 Where appropriate, disciplinary outcomes may be shared with coaches, programme staff, National Governing Bodies, scholarship providers, funded programme partners, and Loughborough College (where applicable).

17. Complaints

17.1 Complaints should be raised with the relevant AU Club in the first instance.

17.2 Where matters cannot be resolved at club level, complaints may be escalated to the Athletic Union or Loughborough Sport through the appropriate procedures.

18. Amendments

18.1 Loughborough Sport reserves the right to amend these Terms and Conditions where reasonably necessary.

18.2 Any material changes will be communicated through appropriate channels.

19. Governing Law

19.1 These Terms and Conditions shall be governed by and interpreted in accordance with the laws of England and Wales.

19.2 Any disputes arising from these Terms and Conditions shall be subject to the exclusive jurisdiction of the courts of England and Wales.
